Introduction
The P2B Mobile Application is provided as part of the HR Management System (HRMS) to authorized employees of P2B Ace Solutions Private Limited. Use of the application is strictly limited to official, workrelated purposes as configured by the Company.
Information Collected
Depending on the features enabled by the Customer, the HRMS application may collect and process the following categories of information:
- Employee Information: Name, employee ID, email address, phone number, or other identifiers provided by the organization.
- HR Data: Attendance, shifts, leave records, payroll-related information.
- Location Data (if applicable): Location data for attendance or tracking purposes (only when explicitly enabled by the Customer and permitted by the user’s device settings)
- Files/Media: Photos or documents uploaded by the employees (e.g., profile photo, attendance verification, official documents)
- Device & Log Information: Device type, operating system, IP address, login timestamps, session duration, and app usage logs.
Purpose of Data Use
Data collected through the HRMS Application is used solely for:
- Delivering HR-Related functionalities
- Verifying attendance and work activities
- Ensuring compliance with labor laws and audit requirements
- Improving application performance, security, and user experience
- Providing technical support and resolving issues
Note: Data is not used for advertising or marketing purposes.
Mobile Permissions
The Mobile application may request access to:
- Location : for attendance or location-based features.
- Camera : for capturing photos or uploading documents.
- Storage : for uploading or downloading files.
- Notifications : for HR alerts, attendance reminders, or updates.
All permissions are optional and depend on features activated by the HR administrator. Employees can manage permissions via device settings.
Data Ownership & Control
All data collected is owned and controlled by P2B Ace Solutions Private Limited for their HRMS purposes only.
Employees retain rights to:
- Access their personal data.
- Request corrections to inaccurate data.
- Request deletion of data (subject to HR/legal obligations).
- Withdraw consent for optional features (e.g., location services).
Data Retention
- Attendance and HR records are retained as per statutory labor law requirements.
- Non-essential data (e.g., logs, temporary files) is deleted after defined retention periods.
- Secure deletion protocols are applied once retention periods expire.
Data Security
We implement technical and organizational safeguards, including:
- Encryption: All sensitive data is securely encrypted by using industry-standard encryption protocols.
- Authentication: Passwords, OTP, and optional multi-factor authentication (MFA).
- Monitoring : Regular vulnerability assessments and patch updates.
- Incident Response : Employees will be notified promptly in case of a data breach.
Employees are responsible for securing their devices and login credentials.
Data Sharing
- Data is not sold or shared with third parties.
- Information may be shared only with regulators, auditors, or partners when legally required or contractually agreed.
- Anonymized data may be used for HR analytics and process improvement.
